Connect your WordPress site

The WhizInvoice plugin sends every new form entry on your WordPress site to your Enquiries list. You add the website in WhizInvoice, install the plugin, paste one code and send a test. Here is each step, plus fixes for the problems people meet most.

Before you start

Check these four things first and the rest takes a few clicks.

  • Your site runs WordPress 5.8 or later on PHP 7.4 or later.
  • You can log in to WordPress as an administrator. Only administrators can see or change the plugin’s settings.
  • One of the supported form plugins listed below is active on the site.
  • Your WhizInvoice plan has room for another website: Free connects 1, Solo 15, Business 40 and Multi brand 100.

In WhizInvoice: add the website

  1. Open Websites

Sign in to WhizInvoice and open Websites from the menu.

  2. Add the website

Give it a name your team will recognise, such as the brand on the site, add its address and click Add website.

  3. Copy the connection code

The code appears at the top of the page. Click Copy code and keep it somewhere safe for a moment. For your security it is shown only once.

  4. Download the plugin

On the same page, click Download the WordPress plugin. You get a file called whizinvoice-connector.zip; leave it zipped.

In WordPress: install and connect

  1. Upload the plugin

In your WordPress dashboard go to Plugins, Add New (Add New Plugin in recent versions), then Upload Plugin. Choose whizinvoice-connector.zip, click Install Now, then Activate.

  2. Open Settings, WhizInvoice

The plugin adds a WhizInvoice page under Settings. A Connect now notice also appears on your dashboard until the site is connected.

  3. Paste the code and click Connect

Paste the connection code into the box and click Connect. When it works you see: Connected. New enquiries from this website now go straight to WhizInvoice.

  4. Send a test enquiry

Click Send a test enquiry. Within seconds an enquiry called WhizInvoice test appears in your Enquiries list, and you can archive it once you have seen it arrive.

Forms that work with the plugin

The plugin listens to the form plugins below. The settings page shows which of them it found on your site under Forms found, so you can confirm yours is listed. Ten form plugins are supported today, a catch all for the rest is on its way, and most other WordPress forms will then work too.

  • Contact Form 7
  • WPForms
  • Gravity Forms
  • Fluent Forms
  • Elementor forms (part of Elementor Pro)
  • Ninja Forms
  • Formidable Forms
  • Forminator
  • Everest Forms
  • The Divi contact form

What is sent, and what never is

Each entry arrives with the name, email, phone, address and message already picked out, alongside the other fields on your form. Every entry is signed with your website’s own secret, so WhizInvoice only accepts entries that really came from your site.

Some things are never sent: passwords, card numbers, captcha answers, and any entry your form plugin has already marked as spam. Payment fields and hidden anti-spam fields are skipped too.

The plugin adds no scripts or styles to your pages and never slows a form down. Entries are sent after the visitor’s page has finished, so your visitors notice nothing different.

When entries wait on your site

Nothing is lost if an entry cannot be delivered. If WhizInvoice cannot be reached, or the website is paused, entries wait in a small queue on your own site and are retried automatically, at most six hours apart. The settings page shows how many are waiting under Waiting to send.

A website is paused when you pause it yourself from Websites in WhizInvoice, or when it goes beyond the number of websites your plan includes. Resume it, or upgrade your plan, and the waiting entries arrive. To send them straight away, click Send waiting entries now on the plugin’s settings page.

Retries run on WordPress’s own scheduled tasks, which fire when people visit your site. On a very quiet site waiting entries may take a little longer, and the Send waiting entries now button is the quickest fix.

Fix: the code is not accepted

If the plugin says the code does not look like a WhizInvoice connection code, part of it was missed when copying. A full code starts with ws_ and has a full stop in the middle, so copy it again with the Copy code button rather than selecting it by hand.

If it says WhizInvoice did not accept the connection code, the code belongs to a different website or has been replaced. Each website has its own code, and making a new code for a website switches the old one off. If you no longer have the right code, open Websites in WhizInvoice and make a new one for that website, then paste it into the plugin with Save new code.

Fix: the server clock is out

Every entry carries a time stamp, and WhizInvoice refuses entries whose time is more than five minutes away from its own. If the plugin reports that the server’s clock is out, ask your web host to correct the server time. Once it is right, click Test the connection, then Send waiting entries now.

Fix: the website is paused on your plan

This message means WhizInvoice answered that your plan does not currently include this website, or that you paused it. Entries keep waiting on your site in the meantime. Resume the website in Websites if you paused it, or upgrade to a plan with more websites, and they arrive on their own. Upgrading never changes your existing data.

If the plugin instead says WhizInvoice could not be reached, your host may be blocking outgoing connections. Ask them to allow secure connections from your site to app.whizinvoice.com.

Questions

Good to know

Do I have to rebuild my forms?

No. The plugin reads entries from the form plugin you already use, so your forms look and work exactly as before.

Can I connect more than one website?

Yes. Add each website in WhizInvoice to get its own connection code, then install the plugin on each site. Free connects one website, Solo 15, Business 40 and Multi brand 100.

What happens if I disconnect the plugin?

New entries wait on your site until you connect again, and nothing already in WhizInvoice is touched. Click Disconnect on the plugin’s settings page to do it.

Will the same enquiry ever arrive twice?

No. If the plugin retries an entry that already arrived, WhizInvoice recognises it and keeps just one copy.

My site is not on WordPress. What can I do?

On Solo and up, use enquiry forwarding. In Settings, Websites, make your private address, then send your form’s notification emails to it or forward them from Gmail or Outlook. If Gmail or Outlook asks you to confirm the forwarding, the confirmation email shows in WhizInvoice for you to open. Each address counts as one of your plan’s websites.
