For lawn mowing businesses

Lawn mowing invoices that keep pace with the round

A mowing round is lots of lawns at small prices, and every one needs billing. WhizInvoice is lawn mowing invoicing software that turns website enquiries into invoices, repeats your regulars and chases the stragglers, so you can stay on the mower.

Where mowing money slips through

The example on this page is from New Zealand, with GST at 15%. You set your own country’s tax in Settings.

  • Regulars on a cycle

Weekly in spring, fortnightly in summer, monthly in the depths of winter. Customers on a fixed plan suit a recurring invoice on Solo, and everyone else is two taps from your saved price.

  • Edges, berms and clippings

Edging, weed eating, mowing the berm and taking the clippings away are often priced on top of the mow. Keep each in your list so none is left off a busy day’s invoices.

  • Section tidy ups

A one off tidy up before a sale or a new tenant is priced by the job or by the hour. Quote it from the enquiry on Solo, then invoice the price they accepted.

  • Customers who pay by internet banking

Plenty of regulars would rather pay by bank transfer than card. Your account number prints on every invoice, so nobody has to ring you for details.

  • Seeing who still owes

Thirty small invoices make it hard to tell who has paid. One screen shows owed, overdue and paid, and polite reminders go out until each one clears.

  • Green waste fees

Dropping a trailer of clippings at the transfer station costs you money. Add a saved green waste charge so that cost appears on the invoice instead of coming out of your margin.

From a mowing enquiry to money in the bank

  1. A new lawn comes in

Someone fills in your website form with their address and the size of the section. It lands in your list, ready to price.

  2. Pick the lawn size

Choose a small, medium or large section from your saved prices and add edges or clippings. GST at 15% is worked out for you.

  3. Mow, then send

Send the invoice from your phone before the mower goes back on the trailer.

  4. Repeat it and get paid

Move regulars onto a recurring invoice on Solo, and let reminders follow up anyone who forgets.

From one mower to a few crews

Most mowing rounds start in a notebook or a spreadsheet. Solo imports customers and prices from a CSV file, so your round comes across without retyping every address.

As the round grows, Business adds 15 team members with roles, plus bulk invoicing for the days a whole run needs billing at once. Doing more than lawns? See invoicing for gardening and landscaping.

Questions

Good to know

Can I invoice regular mows automatically?

Recurring invoices come with Solo and above. Customers on a fixed plan are billed on schedule, while as needed customers are invoiced from your saved prices in seconds.

Should I invoice after every mow or once a month?

Either suits WhizInvoice. Some customers like a bill per visit, others prefer one invoice a month with the number of mows as the quantity, and a monthly statement on Solo shows anyone what they still owe.

Do I charge GST on lawn mowing in New Zealand?

If you are GST registered, yes, at 15%, and your GST number belongs on the invoice. WhizInvoice adds both when you choose New Zealand as your country.

Can customers pay me by bank transfer or card?

Your bank account details print on every invoice, and you can add your own Stripe, PayPal or Square link for cards. Mowing customers pay you directly, and WhizInvoice never touches the money.

What happens if rain pushes a mow back a day?

Nothing changes on the money side. Send the invoice when the lawn is done, and the reminders follow the due date on that invoice.
