Keep Xero for the books, invoice in WhizInvoice

Xero is a strong accounting system, and your accountant may well run your books in it. If the part that frustrates you is getting from a website enquiry to a sent invoice, this guide compares the two honestly and shows how to move your contacts across.

Why some service businesses invoice outside Xero

Xero does a great deal well: bank feeds, reconciliation, GST and BAS, payroll and a large marketplace of connected apps. For an accountant it is a complete workspace. For a cleaner, pest technician or plumber who mainly needs to quote and invoice, the plan you pick shapes how much invoicing you can do.

In Australia, Ignite, the entry plan, allows 20 invoices a month, and Xero counts both approving and sending against that limit. Repeating invoices are available, but they count towards the same 20. A busy month means moving to Grow. Invoicing in more than one currency starts on Comprehensive.

WhizInvoice begins a step before the invoice, with the enquiry your website just received, and carries it through the quote, the invoice and the reminders.

What stays in Xero

If Xero holds your books, the right answer is usually to keep it. Keep Xero for your bookkeeping, bank feeds, BAS and payroll, and use WhizInvoice for enquiries, quotes, invoices, reminders and statements.

WhizInvoice does not connect to or sync with Xero, and we will never pretend otherwise. Talk to your accountant about how your sales will reach the books once you invoice in WhizInvoice. On Business, reports for your accountant show sales, tax collected and aged debts, and Starter and above can export by CSV.

Bring your Xero customers across in four steps

  1. Export your customers from Xero

In the Contacts menu, choose the Customers group. Click the menu icon at the top right, then Export. Xero downloads a CSV file in the same layout as its contact import template. For prices, go to Sales, then Products and services, click Export and choose CSV.

  2. Import into WhizInvoice

On Starter or above, upload the CSV and match Xero’s columns to name, email, phone, address, postcode and price.

  3. Set Australia, or your country

Pick your country in Settings. For Australia, invoices carry the Tax invoice title, your ABN and GST at 10%, and you can adjust anything that differs for your business.

  4. Plug in your websites

Add the small WordPress plugin to each site, so every new enquiry lands in your list ready to quote.

Tips for a clean start

  • Export customers only

Xero’s export works by contact group. Export Customers rather than All, so suppliers do not end up in your invoicing list.

  • Pick a start date

Choose a day from which new invoices come from WhizInvoice. Invoices sent from Xero before then are paid and reconciled in Xero as usual.

  • Tell your bookkeeper

They need to know that new sales start in WhizInvoice, and how they will receive the figures.

  • Match your branding

Add your logo and colours, then pick one of the 32 invoice designs, so customers recognise your invoices.
