How to fill in your invoice
Every part you need to change sits in [square brackets] in the Word file and in blue cells in the Excel file. Work from the top down and it takes a couple of minutes.
- Your details. Business name, tax number, address, email and phone. Add your logo in place of [Your logo].
- The number and dates. Give each invoice the next number in your series, the date you issue it and the date it is due.
- Your customer. Their name or company, a contact name, their address, email and phone, plus a ship to address when the goods go somewhere else.
- The lines. One line for each item or piece of work, with a quantity and a price. In Excel, each line can carry its own tax rate.
- Your own field. A spare line in the details for a job number, site or anything your customer asks for.
- The totals. Subtotal, any discount, shipping, the tax, any amount already paid and the balance due. Excel works these out. In Word, type them in.
- How to pay you. Bank details or a payment link, plus the invoice number as the payment reference.
- Terms and a signature. Your terms and conditions apart from the notes, and a line to sign it off.
Invoice format: Word, Excel or PDF?
Word is the easiest to make your own: change the colours, add your logo and save it as your template. Excel is best when you have several lines, because the totals and tax work themselves out and cannot be typed over by mistake. The PDF suits anyone who wants to print a pad of invoices or type into the boxes in a PDF reader.

Yes. In Word, click the [Your logo] text and insert your image there. In Excel, use Insert, Pictures and place it at the top left.
Can I use it in another currency?
Yes. In Excel, pick the currency in cell F8 and every amount changes to match. In Word, type your own currency symbol.
Can I fill in the PDF on screen?
Yes. Open it in a PDF reader such as Adobe Acrobat Reader, Edge, Chrome or Preview and type into the boxes, then save or print it.
