Getting started with WhizInvoice

This guide takes you from a brand new account to your first paid invoice. Work through it in order the first time; every setting can be changed later without touching your invoices or customers.

Have these ready

Setting up goes quickest with a few details at hand. None of them are needed to create the account, so you can add any of them later.

  • Your business name as customers know it, and your legal name if it is different.
  • Your tax number, such as an ABN, GST number, VAT number, GSTIN or TRN, if you are registered.
  • Your logo as a PNG, JPG or WebP file of up to 1 MB.
  • The bank details or payment link your customers will use to pay you.
  • The services you sell most and what you charge for them.
  • An administrator login for your WordPress site, if you want website enquiries to arrive by themselves.

Create your account

  1. Open the sign up page

Go to app.whizinvoice.com/register and enter your business name, your own name, your country, your email address and a password.

  2. Choose a strong password

It needs at least 10 characters, with a capital letter, a small letter and a special character such as ! or #. Passwords that have appeared in known data leaks are refused.

  3. Confirm your email

We email you a 6 digit code. Type it in and your account opens on the Free plan, with no card needed.

  4. Look around

Your enquiries, invoices, quotes and customers each have their own place in the menu, and Settings holds everything that appears on your documents.

Set your country and tax

The country you chose at sign up fills in your currency, tax name and rate, tax number label, invoice title, date format and paper size. Ready made settings cover Australia, New Zealand, the United Kingdom, Ireland, the United States, Canada, India, Singapore, South Africa and the United Arab Emirates. For any other country you enter the same settings yourself.

Open Settings, then Country and tax, to check them. Two switches matter most. If you are not registered for GST, VAT or sales tax yet, switch tax registration off, and your documents are titled Invoice with no tax added. If the prices you quote already include tax, switch on prices including tax, and WhizInvoice works the tax out of each total instead of adding it on top.

Each country page explains the local rules in more detail, for example Australia, the United Kingdom and the United States. A few countries require some or all business invoices to go through a government e-invoicing system, and the country pages say where WhizInvoice cannot do that for you.

Add your business details

In Settings, Business profile, add your business name, legal name, tax number, address, email, phone and website, then upload your logo. These print at the top of every quote and invoice, so check the spelling of your legal name and tax number carefully.

Your invoices go out under your business name from our verified sending address, and replies come back to the email address you enter here. There is nothing else to set up for sending.

Tell customers how to pay you

In Settings, Bank and payments, add whichever of these your customers use: PayID, BSB and account number, sort code, IBAN and BIC, or written payment instructions for anything else, such as a routing number, UPI ID or PayNow UEN. You can also paste a link to your own Stripe, PayPal or Square checkout for card payments.

Whatever you add prints in a How to pay box on every invoice, with the invoice number as the payment reference. Payments always go straight to you. WhizInvoice never holds your money.

Save your prices, design and reminders

Add the services you sell most to your Price list, with a price and a unit such as per hour, per visit or per room. When you build an invoice they are a tap away, and the totals and tax work themselves out.

Then make three quick choices. In Designs, pick a layout and your brand colour; every design is included on every plan. In Numbers and terms, set your invoice number prefix, your usual payment terms in days, how long quotes stay valid and your standard deposit. In Emails and reminders, decide when polite reminders go out, whether they skip weekends, the hours they are sent in, and whether customers get a receipt once they have paid.

Connect your website

If your website runs on WordPress, open Websites, add the site and copy its connection code, then install the small WhizInvoice plugin and paste the code. From then on every form entry lands in your Enquiries list within seconds. Our step by step guide, Connect your WordPress site, covers it in detail.

The Free plan connects one website, Solo 15, Business 40 and Multi brand 100. If your site is not on WordPress, forward its form emails to your private WhizInvoice address on Solo and up, and they arrive as enquiries. On every plan you can add calls and walk ins with Quick add.

From first enquiry to invoice

  1. An enquiry arrives

The customer’s name, contact details and message appear at the top of your Enquiries list, marked New. Open it to see everything they typed.

  2. Quote it, if the job needs one

On Solo and above, turn the enquiry into a quote, add lines from your price list and ask for a deposit. Your customer can accept it online with one click.

  3. Invoice the deposit, then the balance

Send a deposit invoice once the quote is accepted. When the job is done, the final invoice takes off the deposit already paid, and tax is never added twice.

  4. Or invoice straight away

For quick jobs, skip the quote. Create an invoice from the enquiry and the customer’s details are already filled in.

Send it and get paid

Press send and your customer receives an email from your business name with the PDF invoice attached and a link to view it online. You can see when the email is delivered and when it is opened, and if it bounces you know straight away.

Reminders then run on the schedule you chose and stop the moment the invoice is marked paid. When money arrives, record the payment against the invoice; part payments are fine, and the invoice shows the balance still due. Regular customers, such as property managers, can get a statement of everything they owe on Solo and above. On Solo and up, customers can tap I’ve paid, you can upload your bank statement file to match payments, and your own Stripe Payment Link can mark invoices paid by itself.

When you are ready to upgrade

The Free plan gives you unlimited invoices and customers, enquiries from one website, every invoice design, automatic reminders and opened and paid tracking. Paid plans add more websites, removal of the small Sent with WhizInvoice note, quotes with online accept, deposits, recurring invoices, statements, team members with their own roles and reports for your accountant.

Solo is $4.99 a month or $49 a year, Business $9.99 or $99, and Multi brand $19.99 or $199, in US dollars. Yearly plans take 70% off your first year. Rather than a trial period, every paid plan has a 30 day money back guarantee, and upgrading never changes your data. Compare them on our pricing section.

Questions

Good to know

Do I need a card to start?

No. The Free plan needs no card and has no time limit, so you can use it for as long as you like.

Can I change my country or tax settings later?

Yes. Open Settings, then Country and tax, and change anything. New quotes and invoices use the new settings.

My country is not one of the ten ready made settings. Can I still use WhizInvoice?

Yes. Choose your country at sign up, then enter your currency, tax name, rate and tax number label yourself in Country and tax.

Can I bring my customers and prices from another app?

Yes. On every plan you can bring customers, jobs and prices from Fergus, Tradify, ServiceM8, Jobber or another job tool. On Solo and above you can also import customers and prices from any CSV spreadsheet, and export them again whenever you want.

How do I get help?

Message us from inside the app, or from the sign in page if you are locked out. A real person reads every message and replies.
