What to put in a quote or quotation
A good quote answers every question before the customer has to ask it.
- Valid until. A date the price holds to, so a quote from last year cannot be accepted at last year’s prices.
- The work, line by line. Labour, materials and extras on their own lines.
- What is not included. The notes have a sentence ready for it, because most disputes start here.
- The deposit. A percentage or an amount that books the work. The Excel file works it out from the total.
- A place to say yes. Name, signature and date lines for your customer.

Good to know
What is the difference between a quote and an estimate?
Most trades treat a quote as a fixed price for a set job and an estimate as a best guess that can change. Change the title if you are giving an estimate.
How long should a quote be valid?
Many businesses use 14 to 30 days. Choose a period that matches how quickly your costs change, and put the date on the quote.
How does the deposit work in the Excel file?
Type a percentage, such as 30%, beside Deposit to accept. The deposit amount is worked out from the quote total, tax included.
Can my customer sign it digitally?
They can type into the fillable PDF and sign on paper. With WhizInvoice, customers accept quotes online with one tap.
