Know which invoices are paid
Money lands in your hand at the door or in your bank days later, but which invoice was it for? Record it on the spot, or let one of three signals tell you, and you stay in charge of every one.
The gap between paid and marked paid
A customer pays by bank transfer on Friday night. On Monday you open your banking app, scroll for a name or a reference, then go and mark the invoice paid. Until you do, the reminders keep running, and someone who has already paid gets chased.
WhizInvoice closes that gap. Money taken at the door is recorded at the door, and for money that arrives later, your customer, your bank statement or your own Stripe can tell you. None of them needs a phone call.
Three ways to know
I've paid, from the customer
The invoice your customer opens has an I’ve paid button. They pick how and when they paid, and reminders pause while you check.
Your bank statement file
Upload the statement file from your bank’s website. Payments are matched to invoices by the invoice number in the reference.
Your own Stripe Payment Link
Customers pay by card through your own Stripe. When Stripe confirms the payment, the invoice is marked paid by itself.
When the customer taps I've paid
On the invoice, your customer taps I’ve paid and chooses how they paid, such as bank transfer or cash, the date, and a note if they like. Reminders for that invoice pause straight away, so nobody is chased while the money is on its way.
You see Customer says paid on the invoice. Press Confirm when the money is in your account and the invoice is marked paid, or Not yet and the reminders carry on, and your customer is told the payment has not arrived yet. If nobody answers for 7 days, WhizInvoice reminds you once.
Matching a bank statement file
Download your statement
On your bank’s website, download the account statement as CSV, OFX or QIF. A PDF statement cannot be read, so choose one of those three.
Upload it
Upload the file in WhizInvoice, up to 5 MB. Common Australian bank layouts are understood as they are, with no tidying first.
Check the matches
Money in is matched to open invoices by the amount and the invoice number your customers put as the reference, and you see each match before anything changes.
Confirm
Confirm the matches you agree with. Those invoices are marked paid and their reminders stop. The same line in a later download is never recorded twice.
Your own Stripe Payment Link
Make a Payment Link in your own Stripe account, add a webhook that points at your private WhizInvoice address, and paste its signing secret on the Getting paid screen, which walks you through each step. From then on, the Pay now by card button on each invoice opens your link with the amount filled in and a random reference for that invoice.
When Stripe confirms a payment, the invoice is marked paid. Less than the amount owed is recorded as a part payment. Anything unusual, such as more than was owed, another currency or a reference we do not know, is flagged for you to check instead of being recorded.
Paid on the spot
When a customer pays at the end of the job, the phone asks Did Sarah pay you now? Pick Cash, Card or Bank transfer, and all of it or part. The invoice is marked paid straight away and, if you send receipts, the paid invoice is emailed to your customer with a line such as Paid in full by cash on 12 November 2026. Thank you.
The office gets a phone alert such as Sam took $380 cash from Sarah Mitchell. A wrong tap can be undone for 10 minutes, and after that the office can still put it right.
Paid before you even sent it? On any draft, the owner and the office can press Paid already and choose how it was paid, and if you send receipts, the customer gets the paid copy instead of a bill. That works on every plan, Free included.
Cash with your team
Technicians take payments only once you switch on Take payments on the job in Settings, On the job. It is off until you do, and they only see what is owed on the job in front of them.
Cash they take shows under Getting paid, Cash with your team, with who took it and when, until you tick Handed in. Nobody has to remember who is holding what, and your own cash never shows there.

Good to know
Which plans include these?
Paid already and recording a payment on your own visit are on every plan, Free included. I’ve paid, bank statement matching, the Stripe Payment Link signal, technicians taking payment and Cash with your team are on Starter and up. Starter is US$7.99 a month or US$59.88 a year, with a 14 day free trial and a 30 day money back guarantee.
Can my technician take cash on the job?
Yes, once you switch on Take payments on the job. They record cash, card or bank transfer on their phone, the invoice is marked paid, and the cash shows under Cash with your team until you tick Handed in.
Does I've paid mark the invoice paid?
No. It pauses the reminders and asks you to check. The invoice is marked paid only when you press Confirm.
Can WhizInvoice connect to my bank?
No, and that is on purpose. You download a statement file from your bank and upload it, so we never hold a login or a live link to your account.
Do you keep my bank statement?
No. The file is read once to find matches. Only the payments you confirm are recorded on their invoices.
What about PayPal or Square?
You can still add a PayPal or Square payment link to your invoices. Only a Stripe Payment Link from your own account marks invoices paid by itself, so record the others yourself when they arrive.
Stop chasing people who have paid
Choose Starter and let your customers, your bank file and your own Stripe tell you who has paid.
Free plan forever. No card needed to start.
